Zurich Treasury Services Limited ("ZTS") is an Irish incorporated limited liability company.  It is the Zurich Insurance Group Ltd (ZIG) centre of excellence for the provision of treasury services.  ZTS covers the majority of the Group's treasury related and derivative transactions throughout their lifecycle. We are currently recruiting for an experienced Executive Assistant. 

The purpose of this role is to provide a dedicated Personal Assistant role for the Chief Executive Officer ZTS and provide assistance to the management team. The successful candidate will act as the Office Manager for ZTS to ensure smooth operation of the office environment.  They will also support the Accounts Payable and Compliance function.  Based in La Touche House in the IFSC, this is a critical support role to maximise the effectiveness of the management team.

This role may be available part-time or full time. This is because we want the best people for our roles, and we recognise that sometimes those people aren’t available full-time.  Please talk to us at interview about the flexibility you may need. 

This role is being offered on a 12 month FTC. 

Your Role

 

As a Personal Assistant  your main responsibilities will include, but not necessarily be limited to, the following
 

Key Accountabilities: 

  • Personal Assistant to the CEO of ZTS and support to the management team 
  • Attend meeting, prepare agendas in advance, record, transcribe, post the minutes of meetings as needed 
  • Prepare, complete and submit expense reports for CEO as well as other employees
  • Assisting with HR & Payroll Administration
  • Perform the role of Office manager ensuring efficient operation of the office environment.  Ordering supplies and managing the inventory of those supplies, liaise with suppliers and anticipate needs
  • Perform the day-to-day processing of accounts payable for ZTS
  • Participate and contribute to other activities and projects as required.
  • Assist with the administration of the Compliance function.
  • Assist with all travel plans for the ZTS team and incoming visitors

 

KPI’S

  • Quality, quantity and timeliness of outputs
  • Ensure own and executive’s time and workload is managed efficiently and effectively
  • Efficient and accurate processing of accounts payable receivable in SAP in accordance with SOX and control frameworks.
     

Relationships:

  • Ability to develop and manage relationships with the following internal and external audiences:
     

Internal

  • Reports directly to the CEO ZTS 
  • Liaise with all ZTS staff
     

External

  • A variety of external vendor contacts 
  • Consultants, Auditors and Banking Partners
     

Skills & Experience

 

As a Personal Assistant your skills and  qualifications will include: 

 

Technical  Competencies

  • 6 years + secretarial experience
  • Recognised PA qualification
  • Proven track record as a PA and Office Manager
  • Experience in Accounts Payable
  • Comprehensive knowledge of Microsoft and other PC software packages
  • Thorough knowledge of secretarial principles and procedures

 

Non-Technical Competencies

  • Expert high-level organisation, diary management and prioritisation skills
  • Quality focus
  • Ability to liaise with staff/customers at all levels
  • Excellent written and verbal communication skills
  • Effective people management skills
  • Customer orientated

 
 

Additional Information

Primary work location is IFSC based but occasional travel may be required to other Zurich locations.
