Zurich Insurance Europe is looking for an Executive Assistant to provide a variety of confidential support services to the General Insurance Executive Board including, but not restricted to: full meeting and travel co-ordination, vetting and arranging appointments, maintaining industry and Zurich group key contacts, first draft reports and presentations and management of action points.

 

This role may be available part-time or full time. This is because we want the best people for our roles, and we recognise that sometimes those people aren’t available full-time.  Please talk to us at interview about the flexibility you may need.

Your Role

 

As an Executive Assistant your main responsibilities will include, but not necessarily be limited to, the following:

  • Diary and meetings management
  • Handle work of a highly confidential and sensitive nature
  • Handle/screen and prioritise incoming communications
  • Manage and resolve queries on behalf of the Senior Management Team
  • Email management as required
  • Manage business events, travel and accommodation arrangements
  • Produce a variety of documents, mail and presentation materials
  • Provides administrative support to individual(s) including the organisation of presentations and the analysis and interpretation of information/data and budgets
  • Coordinate itineraries for visiting executives (including: organisation of meetings and numerous other company personnel; catering arrangements; transportation arrangements; preparing detailed itineraries and distributing them)
  • Compilation and analysis of expenses
  • Manage local procurement needs as required
  • Contact database management
  • Manage records ensuring effective and efficient filing and retrieval systems
  • Organises all aspects and acts as secretary for ad-hoc meetings
  • Produces correspondence, reports and other documents which meet high standards of quality and service, which will include co-ordination of budgets and the compiling and distributing of minutes and reports;
  • Develops efficient and effective management information systems and procedures that allow swift and easy access to key documents and files; including monitoring and reporting on CUO & Management Team budget
  • Co-ordinates and reports on the completion of action points as per meeting minutes on behalf

Your Skills & Experience

 

As an Executive Assistant your skills and qualifications will include:

  • Ideally have 7 years’ experience working as a senior executive assistant/PA. It would be an advantage to have previously worked supporting Operational and IT functions but not essential
  • Strong secondary education/preferably degree educated
  • Excellent use of English language and grammar
  • Excellent skills in Word, Excel and PowerPoint are prerequisite
  • Financial Services relevant professional certification would be desirable
  • Minute taking and report writing
  • Presentation drafting
  • Expert high level time management and prioritisation skills
  • Excellent written and oral communication skills
  • Self-starter with confidence and commitment to professional delivery
  • Excellent communication, influencing and negotiation skills
  • Highly motivated and flexible individual
  • Ability to work unsupervised and take ownership of queries/issues, bringing them to a successful conclusion
  • Excellent organisational skills and time management
  • Ability to work under pressure, often with tight timescales and often with a limited brief
  • Constructive with the ability to take pragmatic decisions
  • Flexibility in working hours to accommodate demands of different time zones.
  • Diplomatic and highly confidential
  • Used to working with senior executives and sensitive data
  • The position holder will need to demonstrate a flexible approach to cross-country working and undertaking additional working hours when required
     

Additional Information

Primary work location is Blackrock based but occasional travel may be required to other Zurich locations.
