A new opportunity has been created for a highly organized and proactive Team Assistant, reporting to the Chief Information Officer, Australia & New Zealand.  

 

The Team Assistant will be responsible to provide administrative, logistical, and team engagement and communication support to the Technology Leadership Team. The ideal candidate will play a key role in day-to-day operations of the team by managing schedules, coordinating meetings, preparing documents and financial workflows, managing internal team communications, and acting as a reliable point of contact for both internal and external stakeholders. 

 

You will be responsible for the following:  

 

  • Manage calendar(s), scheduling appointments, meetings, and conferences. 

  • Provide administrative and operational support to CIO and specific members of the Technology Leadership Team (TLT) who are direct reports to the CIO and their respective teams. 

  • Organize and prepare materials for meetings, including agendas, presentations, and reports. 

  • Manage the daily administration requirements and ensure effective diary co-ordination for the TLT and where necessary, the managers reporting to them. 

  • Liaise with internal and external stakeholders to manage supported TLT member calendars, meetings and events. 

  • Arranging meetings and other team events which may include attending such meetings and taking meeting minutes. 

  • Assist in data collection and preparation of reports and presentations as necessary. 

  • Update organisational charts on a periodic basis, and if required undertake monthly reporting activities. 

  • Coordinate with IT Helpdesk, P&C and other service providers to ensure all system requirements are in place and process administration needs / new starter requests for the TLT teams where required. 

  • Organize Technology wide events and engagement activities, including townhalls, inspo sessions, showcase sessions, big room planning, celebrations etc 

  • Manage internal communications across technology teams using various channels, Process, produce or assist in production of general correspondence, announcements, townhall and other presentations, newsletters, reports etc, on behalf of the TLT.

  • Multiple years experience in secretarial/team assistant role. 

  • Proven examples of organizational and multitasking abilities 

  • Able to manage priorities and conflicting issues in a professional manner. 

  • Able to build strong, open and collaborative working relationships. 

  • Able to use initiative. Be proactive by taking action and being persistent in addressing issues. 

  • Experience in administration in a fast paced environment. 

  • Proficient in Microsoft Office Programs.
