Executive Assistant I, Customer Office
Zurich is currently hiring an Executive Assistant to join the Customer Office team! As an Executive Assistant, you will be providing personal assistance and support to the Distributions Operations and Analytics Leader and team, as well as Broker Relationship leaders. In this role, you will spend your time providing administrative support to your leaders as well as supporting the Operations and Analytics team through calendaring, projects, travel management, expense management, event planning and cross-functional responsibilities. This is a hybrid role and you will need to report to the Schaumburg, Zurich North America Headquarters possibly 2 days per week.
Executive Assistant is responsible for a variety of tasks:
- Under general supervision, performs moderate and confidential administrative work for Senior Management.
- Calendar, travel, and expense management in this role.
- Experience, knowledge and comfort level with time zones and scheduling.
- Ability to pivot with tasks when needed for quick turnaround.
- Proficient with Microsoft Office and Microsoft’s suite of platforms.
- Organizes and prioritizes own assignments to ensure timely and accurate completion of work.
- Greets and directs internal and external visitors to the appropriate person(s).
- Handles internal colleague and employee inquiries regarding calendar availability.
- Maintains proactive response to meeting invitations, scheduling, and coordinating meetings, appointments, and other activities. Does follow-up work as needed.
- Assists with oversight and inventory of necessary office supplies and equipment needs.
- Coordinates travel logistics using the Egencia procurement tool and expenses using Coupa.
Basic Qualifications:
Executive Assistant I
- Bachelor’s Degree and No prior experience required in the administrative area
OR - Associate Degree and No prior experience required in the administrative area
OR - High School Diploma or Equivalent and 3 or more years of experience in the administrative area
AND - Microsoft Office 365 experience
- Experience planning, organizing and scheduling work
Preferred Qualifications:
- Can work independently
- Distribution experience preferred
- Knowledge of company operations, and organizational awareness
- 5 or more years of administrative experience in a multi-tasked, high-paced, confidential environment
- Ability to prioritize
- Ability to multi-task
- Strong verbal and written communication skills
- Technology savvy
- Professional demeanor
- Experience with travel expenses and expense reporting
